Why files come back rejected, and how we stop it

Almost every rejection has one of four causes. We check for all of them before a document leaves our office.

The steps ran in the wrong order

A degree apostilled without HRD authentication, or an embassy submission made before the MEA stamp, has to start again from the beginning.

The translation was certified in the wrong country

Spain, France, Italy and Poland want a translator sworn before their own courts. An Indian certification is not a substitute.

The document itself was not acceptable

Photocopies, laminated certificates and provisional degrees are refused at the counter. We tell you before you post anything.

The rule changed last month

Missions revise fees, forms and appointment systems without notice. We confirm the current requirement on the day of submission.

Questions we are asked most

What is the difference between an apostille and embassy attestation?

An apostille is a single certificate issued by the Ministry of External Affairs that makes an Indian document valid in any country that has joined the Hague Convention. For countries outside it, such as the UAE, Saudi Arabia, Qatar, China and Vietnam, the MEA stamp is only the halfway point and the document must then be legalised at that country's embassy or consulate in India.

Can I get an apostille without state attestation first?

No. The MEA only apostilles a document that already carries an authentication from the issuing state: the education or HRD department for academic records, the home department or SDM for personal records, and a chamber of commerce for commercial documents. Sending a document straight to the MEA is the most common reason a file is returned.

Do you need my original documents?

For translation, a clear scan is enough. For attestation, apostille and embassy legalisation, the original has to be physically submitted, so it travels to us by courier and back to you the same way, insured and tracked.

How quickly can you work?

Translations are usually ready in two to four working days. State attestation adds roughly one to two weeks depending on the department, MEA apostille three to seven working days, and embassy legalisation anything from two days to several weeks depending on the mission. We give you a date with the quote.
